TERMS OF PARTICIPATION IN THE FORUM’S EXHIBITIONS

PROCEDURES FOR FORMALIZING
For participation in the exhibition please fill in the APPLICATION FORM and send it to the Secretariat before August 20, 2012. On the basis of the application form the Secretariat shall send a contract and an invoice to the Exhibitor.
All the prices are in roubles. The invoice can be issued in euros by the rate accepted in RESTEC Exhibition Company.
REGISTRATION FEE
The cost of the registration fee is 17 700 roubles. It includes: catalogue entry, 1 copy of the Official catalogue, 2 accreditations, 1 invitation to the official reception (the cost of an extra invitation is 4130 roubles).
The Exhibitor can have co-exhibitors at the stand. The Co-exhibitor shall follow the present Terms of participation and pay the cost of the registration fee.
Mass media representatives cannot be co-exhibitors. In case of violation a fine equivalent to one registration fee (17 700 roubles) is imposed on the Exhibitor whose stand contains mass media exposition.
ACCREDITATION
All Exhibitors working at the stand should be accredited and wear badges “Exhibitor”.
The registration fee includes 2 accreditations (badges). Additional accreditations can be ordered in advance. The price of each additional accreditation is 767 roubles.
Exhibitor’s colleagues, willing to visit the exhibition can use invitation tickets.
EXHIBITION SPACE
The cost of 1 sq.m.:
space only - 8850 roubles
standard equipped exhibition space - 10148 roubles
The cost of 1 sq.m. of unequipped exhibition space includes: exhibition space, the general security, cleaning of the passages and public spaces, general advertising of the exhibition. Electricity connection and consumption are paid extra. Minimal stand size is 15 sq.m.
The cost of 1 standard equipped exhibition space includes: exhibition space, rare and side wall panels, floor covering, a fascia panel with the company’s name up to 10 characters free of charge, a waste paper basket, 1 coat rack, 1 spotlight, electricity connection up to 2 kWt, electric power consumption, general advertising of the exhibition, general security, cleaning of the passages and public spaces. Minimal stand size is 9 sq.m.
Electrical connection of over 2 kWt and electricity consumption are paid extra.
If ordering the exhibition space with a better observability, the surcharge will be:
- for the stand opened from 2 sides (corner) – 10 % (min. 15 sq.m.)
- for the stand opened from 3 sides (peninsular) – 15 % (min. 36 sq.m.)
- for the stand opened from 4 sides (island) – 20 % (min. 60 sq.m.)
- for the stand near the entrance – 20%
- double-decker stand – 50%
The cost of not full square meter equals to a full square meter.
The Organizer has the right to change the location of the Exhibitor’s stand if necessary.
PAYMENT ORDER
The invoice for participation in the exhibition is issued on the basis of the application form. The pre-payment shall be made in the following terms:
- 70% of the invoice amount within 5 bank days since the invoice issue in case the exhibitor applies for the exhibition less than 6 months before the event
- 50% of the invoice amount within 5 bank days since the invoice issue in case the exhibitor applies for the exhibition more than 6 months before the event within 5 bank days since the invoice issue
The full payment is to be effected not later than 30 days before the set-up of the exhibition.
The cost of the Contract does not include the transportation and insurance of the Exhibitor's property to be placed at its stand. The Exhibitor shall pay the above fees at its own expense.
WITHDRAWAL FROM THE EXHIBITION OR REDUCTION OF THE STAND SIZE
In case of the Exhibitor’s withdrawal from the Exhibition or reduction of its stand size after signing the Contract to Exhibit, the Exhibitor shall pay compensation in the following amount:
- if notified to the Organizer about the reduction of its stand size or withdrawal from the Exhibition 3 – 4 months prior to the stated date of the Exhibition set-up - 50% of the contract amount;
- if notified to the Organizer about the reduction of its stand size or withdrawal from the Exhibition less than 3 months prior to the stated date of the Exhibition build-up - 70% of the contract amount.
OFFICIAL CATALOGUE
The official catalogue of the Forum is published in Russian and English based on the information obtained from the Exhibitors.
Text information (company name, contacts, brief resume – 50-60 words) in Russian and English should be provided in electronic form, MS Word format.
The graphic files (company’s logo, advertising artwork) should be provided in raster formats (Tiff, Psd (300 dpi) or vector formats ((Ai, Eps).
The information for the catalogue should be sent by e-mail: oilgas@restec.ru (or provided on CD) not later than August 20, 2012.
ADVERTISING SERVICES
- A page of advertising in the Official catalogue or show-guide of the Forum
- Advertising banners in the venue of the Forum
The deadline – August 1, 2012
Please contact the Secretariat of the Forum for the technical requirements to the advertising materials.
The cost of the advertising materials in the Forum catalogue:
- 1 page A4 (210x297 mm) of colour advertising – 21 240 roubles
- Logo (only b/w) – 1770 roubles
In case the exhibitor’s products are subject to licensing the Exhibitor should provide the information on the license – the number of the license and the name of the licensor. The advertisement of the products subject to certification is to be marked “Subject to certification”. Please send the authenticated copies of the licenses and certificates to the Secretariat of the Forum.
Note! It is strictly prohibited to suspend any advertising banners or other products to the lighting units, cables and wires in the venue.
The Secretariat has the right for all photo and video sessions at the exhibitions (including the general view of the exposition and individual exhibits). The Secretariat has the right to use the photo and video materials made at the exhibitions as a means of advertising in mass-media.
